Student Data Transparency Shared Data

In an effort to provide educational services to our students, student data is shared among school officials, community partners, online service contract providers, and with on-demand providers.  The content of what is shared and when it is shared is limited based on the purpose and scope of the educational service provided to our schools. 

School Officials- School officials are those individuals working in an official capacity to provide instruction or supporting services to students in our schools. These individuals are typically employees of Roaring Fork Schools such as teachers, counselors, administrators, instructional coaches, food services staff, health staff, and office secretaries.  

To ensure data privacy, school officials are limited in their access to student data.  School officials may only view student information necessary to complete their work duties.  Additionally, school officials are restricted to viewing only students that they directly serve.  For instance, a health aide may only view student contact, attendance, scheduling, and basic health information for students in the school that they serve.  Health aides do not have access to health information for students in other schools or access to the gradebook. 

Community Partners- Roaring Fork Schools shares data with select community partners.  In most cases, data shared with community partners is done to evaluate programs offered to our students. Most data shared with community partners is in the form of aggregate reporting.  The information shared with community partners is used for grant fundings for student programs or for program evaluation. 

Community Partners with Active Agreements

School Service Contract Providers- Entities that enter into a formal agreement with Roaring Fork Schools to provide a school service.  Service providers are online-based organizations that are designed for use in an educational setting at the direction of the school district.  These entities maintain or use student Personally Identifiable Information (PII). School service contract providers are engaged at the district-level through a formal contract process.  Under Colorado’s Student Data Transparency and Security Act, school service contract providers can only collect, use, or share student PII for the purposes stated in the contract.

On-Demand Providers- Entities that provide a school service on occasion to standard, non-negotiable terms and conditions of service established by the provider.  On-demand providers can be used by teachers, schools, or at the district-level, but they require some elements of student PII.

On-Demand Providers Ceased Use- Per Colorado’s Student Data Transparency and Security Act, we are required to list any on-demand providers that we have ceased using due to student data privacy concerns.  To date, we do not have any providers to list.
